Wedding Portal Privacy Notice
Information we collect
Main Street Menswear may store names, roles, contact details, wedding dates and locations, outfit selections, measurements, alteration and pickup status, payment status and receipt references, notes submitted through the portal, access approvals, and security activity records. The portal should not store complete payment-card or bank-account numbers.
How we use information
We use this information to coordinate fittings, orders, alterations, payments, pickup, customer communication, authorized wedding-party access, fraud prevention, security, recordkeeping, and legal compliance.
Who can see it
Authorized staff can see the wedding record. A regular party member sees only their own customer-facing information. The bride, groom, or another person specifically approved by them may receive full-party access. Internal staff notes, approval records, and security logs are not shown to customers. Service providers supporting hosting or business operations may process information under appropriate safeguards. We do not sell wedding-party personal information.
Report unauthorized access
If you believe someone viewed information without permission, your password was shared, or a device with portal access was lost, stop using the affected password and contact the Main Street Menswear store or coordinator shown in the wedding portal immediately. Provide your name, wedding name, what happened, and a safe way to contact you. Do not include a password in the report.
Corrections and deletion requests
Contact the store or wedding coordinator listed in the portal to request correction of inaccurate information, a copy of your portal information, restriction of access, or deletion when legally and operationally available. We may verify identity and may retain limited records needed for transactions, disputes, security, or legal obligations. The bride or groom may request changes to full-party access.
Retention
Our operational default is to mark a wedding completed after the final outfit pickup and schedule a privacy review 24 months later. Measurements, contact information, and operational notes are kept for those 24 months so we can assist with future weddings, then reviewed for deletion unless an approved business or legal reason requires longer retention. Lightspeed POS is the payment system of record. This portal retains only payment status and a receipt reference for wedding coordination and does not store complete card or bank-account numbers. Consent, security, deletion, and activity records may be retained longer when reasonably needed. Managers record measurement deletion in the activity log.
Security and passwords
We use role-based staff access, individual accounts, temporary-password replacement, lockouts, limited customer views, session expiration, and activity logging. No system is completely secure. Customers and staff should use unique passwords and report suspected misuse promptly.
Staff breach-response checklist
- Immediately contain access: revoke affected accounts, preserve evidence, and do not delete logs.
- Notify management and assemble the response team; involve qualified security and legal advisers as appropriate.
- Determine what happened, which records and people were affected, and whether the exposure is continuing.
- Correct the vulnerability, rotate affected credentials, and verify the fix.
- Document decisions, timing, evidence, and every notification.
- Determine applicable state and federal notification duties and contact law enforcement or regulators when required.
- Notify affected people promptly when required, using clear facts and practical protective steps.
- Review the incident afterward and update access, training, vendors, and safeguards.
This notice describes portal practices and is not a promise that every request can be granted or a substitute for legal advice. Main Street Menswear should have counsel approve its final retention schedule and incident-notification procedures.
